Volunteer Positions

Head Timer (1 from home team) Will hold an officials meeting 15 minutes prior to the start of the meet to instruct all timers as to responsibilities. Start their own stop watch at the beginning of each heat in case a timer misses a start. Collects time sheets from timers when sheets are finished and then gives the sheets to the runner (see runners job below).

Runner (1 from each team) One takes sheets from Head Timer to the computer people. The other takes DQ sheets from Judges. The timer runner should attend the head timers meeting 15 minutes prior to the start of the meet so everyone knows who to give their sheets to.

Clerk of Course (1-2 from home team, 1-2 from away team)One person is responsible for getting the swimmers seated by event, heat and lane at the back of the bench. The other is responsible for sending each heat to the blocks immediately upon the start of the previous heat. The third clerk is responsible to inform the head timer, starter and scorekeeper of any heat, lane or name changes and to help the 10 and under relays. They must make sure both ends of the relays teams are placed correctly, 1& 3 at the blocks and 2 & 4 at the far end. Clerks needs to be at the pool at least 30 minutes before the meet starts to get their name tags, sign-in pick up their clip boards with paperwork and check with the computer person for any last minute changes to the swimmers. The Clerks start lining up the swimmers for the first relays at least 10 minutes before the meet starts.

Starter/Announcer (1 from home team) The Starter/Announcer will be responsible for picking up the starter kit prior to each home meet, setting it up, starting each race and making any announcements that need to be made throughout the meet. Announce which events should be reporting to the clerk of course.

Stroke & Turn Judge ( 1 from each team) One-day seminar required. Monitors proper starts, arm and leg motions, turns and wall touches. Judges should have DQ sheets and heat sheets in order to properly identify swimmers. Judges give DQ sheets to the runner. Coaches are responsible for notifying swimmers. Only 9 & up are DQ'ed, unless an 8 & under is doing the incorrect stroke which is giving them a winning advantage. Only the Meet Director may question a decision of a judge. If a coach has a problem, they should meet with the Meet Director. Judges need to be at the pool at least 10 minutes before the start to sign-in, get name tag clipboard and DQ sheets.

Heat Ribbon Runner (1 from home team) Watches each race to determine who touches the wall first, then give that swimmer a heat ribbon (For 10 & under events only). The Ribbon Runner needs to be at the pool at least 10 minutes before the start to sign-in, get name tag and heat ribbons.

Computer Meet Set-Up Person (1 from home team) Works with the computer person during the meet to input times of swimmers, print labels and score the meet. This person does not need to report to the computer until about 10 minutes after the meet starts are generally after the 6th event.

Computer Input Person (1 from each team) Works with the computer person during the meet to input times of swimmers, print labels and score the meet.

Ribbon Writer (1 from home team) The Ribbon Writer takes the printed labels from the computer scorer and sticks them to the back of the proper "place"ribbon. Each Team usually is responsible for their own. The stickers are sorted between the home team and visiting team. This person should report to the computer room after about the 10th event and wait for the stickers. The ribbons are sorted at the check in table and immediately filed in the swim Team Communications Box.

Child Gatherers (Minimum 2 from each team) The Child Gatherers assist the Clerk of Course by gathering the swimmers for the upcoming events. They need to have the swimmers to the Clerk at least 4 events prior to their event. They will be provided with a list of all swimmers, in all events, in the order in which they swim. Child Gatherers need to be at the pool at least 30 minutes prior to the meet start so they have time to check in, get their name tag, pick up their clip board with their paperwork and check with the computer person for any last minute changes to the meet. The Child Gatherers start gathering swimmers for the first relays at least 15 minutes before the meet starts.

Parking Assist with managing parking upon arrival and providing directions to parent seating area and pool.

Timers (1 from each team- for each lane) The timers check to be sure the watch starts, stops & resets. There will be 2 timers per lane. One timer will hold the clipboard with heat sheets and record all three times, circling the median time if possible. The same timer will be responsible for making sure the swimmer on the block or in the water is the same as the name on the heat sheet. That timer will also make sure that all timers in their lanes are ready and raise their hand to show the starter they are ready for the next race. When the starter Beeps, start your watch, stop as soon as they touch the wall. As soon as times are recorded be sure to reset the watch for the next race. Timers need to be at the pool at least 20 minutes prior to the start of the meet to sign-in, pick up their names tag, pickup their watches and clip boards and attend the head timers meeting.
