ACTION NEEDED: Volunteer Sign Ups

Good Afternoon!

Please read through the entire email before proceeding to your volunteer sign up as some changes have been made since last season.

We could not execute a swim meet without the support of all our families. Many volunteers are needed to help things run quickly and smoothly. We very much appreciate your help!

Volunteer sign-ups are now live on Swimtopia. To learn about the different jobs refer to our website: https://westport.swimtopia.com/volunteer-positions We will teach/review what you need to know for each job prior to the start of the swim meet.

Each family with 2 or more swimmers is required to sign up for three shifts. Each family with 1 swimmer is required to sign up for two shifts. Each family must commit to their shifts before their swimmer(s) can participate in swim meets. Below is a step-by-step guide on how to sign up.

1.) Sign in at the Westport Swimtopia site and go to the "meets & events" tab and click "sign up calendar": https://westport.swimtopia.com/swim_meets

2.) You will see a list of the swim meets scheduled for this season. On the right side of the page beside each swim meet will be a green box labeled "job sign up." Clicking on this box will take you to the open volunteer slots for the corresponding swim meet.

Pick volunteer slots that fit your schedule. Your shifts can be during the same swim meet or over multiple swim meets. Each parent can do a shift or one parent can handle them all. Most jobs are for half a swim meet. If you run into any issues or have questions, please reach out to us at [email protected]. A note about champs volunteering: Friday night will consist of all relays and 100-yard events. Saturday morning will be all the remaining individual events and the 6&U free relay. I do my absolute best to get everyone on a relay during dual meets. At champs, I am limited to only A&B relays in each age group so that’s 8 -10. swimmers per age group. Please keep this in mind when picking volunteer shifts for champs.

I am still DESPERATLY searching for more parents to be trained as stroke and turn judges. The training consists of watching a video and completing a short quiz on your own time. I currently only have two parents trained to cover 10 shifts. Please reply to this email if you would be interested in volunteering in this area.

At the end of this week, our volunteer coordinators will start reaching out individually to families who have not signed up for their required shifts. Please get this done asap so we can start swim meet declarations.

Practice reminders:

-All practices and swim meets are optional. We recommend at least two practices a week. We encourage everyone to attend every swim meet but understand travel and competing obligations. You will have the opportunity to let us know that you will miss a swim meet when we open meet declarations.

-Absolutely no swimming in the baby pool/ bucket drop area of the pool during swim practices. This is a liability issue for the club. Thanks for your understanding.
